In daily use, JabRef helps researchers collect references, organize a bibliography, and move citation keys into a writing editor. Entries can be added by hand, imported from publication details, or created by retrieving metadata, while groups and cleanup tools help keep a working library manageable.

Its central design choice is a plain-text BibTeX or biblatex library saved as a .bib file. That makes the bibliography usable with LaTeX setups and shareable through file storage or version control, but it also means users manage sharing themselves rather than relying on built-in cloud synchronization. The interface can feel dense to people unfamiliar with BibTeX, and its Word integration is less polished than its LaTeX workflow.

For a LaTeX project, JabRef can generate citation keys and push them to editors such as TeXstudio, LyX, Emacs, and Vim, with support for Word and LibreOffice as well. This connects reference management to the writing process without requiring the bibliography to be converted into a proprietary library format.

Building and maintaining a reference library

JabRef can complete records from a DOI, ISBN, PubMed ID, or arXiv ID, and it can extract reference details from PDF metadata. Users can also search catalogs including CrossRef, Google Scholar, IEEE Xplore, PubMed, arXiv, and Springer. A browser extension offers one-click importing from web pages, providing another route for capturing material during research.

Once references have been collected, the program can group entries, find and merge duplicates, and correct common mistakes. It can also rename attached PDF files automatically. These tools are useful when a library grows across several projects, because they help standardize records and reduce repeated entries before citations are used in a paper or thesis.

Sharing and working across platforms

Because the library remains a text-based .bib file, it can be shared through Dropbox or Git and used alongside version control. Teams can also synchronize a library through an SQL database. This approach gives users control over how the bibliography is stored, but it does not provide built-in cloud sync; sharing and coordination depend on the chosen storage or database setup.

JabRef is available for Windows, macOS, and Linux. It is free and open-source software under the MIT license, developed by a volunteer team of researchers since 2003. Its main audience is students and researchers who write papers and theses in LaTeX, although its citation support also extends to Word and LibreOffice.

Choosing it for a writing workflow

The best fit is a workflow centered on BibTeX or biblatex, where a portable bibliography file and direct interaction with LaTeX editors matter. Users who mainly write in Word and expect cloud synchronization or a built-in PDF annotator may find that JabRef does not match those needs as closely. Its strength is reference organization tied to an open bibliography format, rather than an all-in-one document reading and annotation environment.
